# Attendance Policy

The Attendance Policy screen allows users to create policies for attendance management. This policy will determine how attendance is recorded and managed for employees. The following sections outline the primary information, overtime policy, notification policy, lateness deduction policy, and early out deduction policy.

# Primary Info

In this section, you need to provide the following information:

  • Name of the policy: Enter a name to identify the attendance policy.
  • Minimum working hours: Set the minimum number of hours an employee should work.
  • Maximum working hours: Set the maximum number of hours an employee can work.

Auto Attendance:

Enable this feature if you want the system to automatically mark attendance for a group of employees every day.

Time before shift:

Specify the time before an employee's scheduled shift when their attendance should be considered early in.

Round Time:

Choose whether to round the recorded attendance time to the next or previous fraction of the time.

Round Time Limit:

Set the maximum amount of time that can be rounded when calculating attendance.


# Overtime Policy

The overtime policy determines how overtime hours are managed for employees. Configure the following settings:

Enable Overtime Policy:

Enable overtime hours for a group of employees by selecting this checkbox.

Use First In/Out:

Calculate total hours and attendance period based on the number of hours an employee worked, deducting any breaks.

Overtime Time Configuration:

Specify the duration after which overtime should be calculated.

Overtime Before Shift:

Indicate whether overtime before an employee's scheduled shift is allowed.

Max Overtime Before Shift:

Set the maximum amount of time that can be calculated as overtime before an employee's scheduled shift.

Overtime Limit:

Configure the maximum number of overtime hours allowed on normal days and holidays.

Workflow:

Select a workflow if you need to approve overtime using an approval workflow. This enables users to receive notifications and approve employee overtime requests.

Round Overtime:

Choose whether to round the calculated overtime hours to the next or previous fraction of time.

Round Time Limit:

Set the maximum amount of time that can be rounded when calculating overtime hours. For example, rounding to 15 minutes or 30 minutes.


# Notification Policy

The notification policy determines when notifications should be sent to employees. Configure the following settings:

Late Notifications:

Enable sending notifications for late employees.

Absent Notifications:

Enable sending notifications for absent employees.

Early Out Notifications:

Enable sending notifications for employees who leave early.

Mispunch Notifications:

Enable sending notifications for employees who have mispunched.


# Deduction Policy

The deduction policy allows you to define deductions for late arrivals and early departures. Configure the following settings:

# Late or Early Out Hour Deduction

Specify the maximum amount of time (in minutes) allowed for late arrivals or early departures in a month. Choose the action to be taken when an employee exceeds the configured values.

Deduction Unit:

Select a deduction unit (none, by day, by hour) that matches the policy.

Deduction Values:

  • Enter the deduction values (days/hours) that need to be deducted as a consequence of the late arrival or early departure.
  • Once you have configured the attendance policy according to your requirements, save the settings. This policy will then be applied to employee attendance management.
